Project Assistant 

Role and Responsibilities: 

  • The project assistant will work directly with the owner / creative director to assist with client pitching, onboarding and offboarding of clients. Depending on personal interests, other responsibilities (social media scheduling, copywriting for web and social media, and sourcing of potential clients) may also be assigned.

  • Will be responsible for pitching and following up with potential clients (as assigned by owner); customizing email templates to connect directly with the client; and track pitching process through a CRM (17hats) and project management system (ClickUp).

  • Monitor and respond to client inquiries within a timely manner, scheduling screening phone calls and sending our investment guide.

  • Efficiently organize automation processes in 17hats.

  • Send and follow up on client proposals, contracts, and invoices. Remind clients of upcoming due dates and payments. 

  • Manage the client offboarding process, managing feedback and compiling information.

  • Send reminders to clients regarding upcoming deadlines and invoices.

  • Hours may ebb and flow from week to week, but should average 3 - 5 hours per week, with the opportunity to grow.

  • Position will begin as a three-month contract, with option to extend to a more long-term contract by both parties at the end of three months. 

About You:

  • Excitement to work with growing businesses, self starter, and organized.

  • Comfortable in a client-facing role: screening client inquiries via email; screening potential clients via phone; and ultimately making recommendations to the owner of whether to move forward with a client. 

  • Experience working in a customer-service, sales, and/or fundraising role. 

  • Basic understanding of the importance of visual branding and working knowledge of client-based organizations (and/or willingness to learn).

  • Comfortable and willing to edit and create CRM automations for efficient and smooth client processes. 

  • Comfortable working independently and communicating primarily through email and project management systems.

  • Detail oriented, excited by collaboration, and a huge fan of efficiency.

  • Comfortable and willing to represent the Anchored Creative Studio brand.

  • Experience with project management systems such as Asana, Trello or ClickUp.

  • Experience managing customer data in a CRM system. Experience with a CRM for creatives such as 17hats, Honeybook or Dubsado a major plus.

  • Ideal applicant willing (and wanting) to interact with clients for onboarding and offboarding processes.

  • Comfortable making recommendations to the owner when something isn’t working, or a process or automation could be completed better. 

  • Must be US based. Being based in the Denver metro area for occasional in-person meetings a plus.

  • Hours can be flexible, but should be available on a consistent, set basis for client scheduling and weekly team video meetings. 

Compensation:

  • Estimated weekly retainer payment: $200 (depending on experience)

  • All positions will be paid a flat, weekly retainer rate depending on their expertise and experience. We believe that hourly pay can potentially de-value your work and efficiency. If you prefer to be paid in a different format (such as project-based), just let us know.
